ABOUT THE POSITION

The Administration assistant’s role in Disease Management (DM) is to perform administration functions to assist the Disease Management department. The primary roles are to manage incoming emails on CRM and distribute them to the relevant counsellors as per departmental requirements. The assistant must also keep track of the turnaround time of all incoming emails and queries. The assistant will also be required to redirect queries to the correct departments for resolution. The assistant will also assist the DM Counsellors with sourcing for clinical and claims history data used for reviewing and counselling chronic patients. The assistant will also perform other administrative functions in the department as required.
Criteria for YES 4 Youth program
South African citizen
Between the ages of 18 and 34 (on the first day of work)
Unemployed – will need to sign an affidavit to declare this status
Not have previously completed a YES 4 Youth program
Not have an immediate family member working within the Universal Group

Duties and Responsibilities
The following are the tasks required of the administration assistant:
Manage the incoming work for the Disease Management mailboxes.
Distribute the incoming applications, prescriptions, and queries on CRM to relevant departments or DM Counsellors.
Respond to incoming email if additional information is required to complete allocation of an item on CRM.
Redirect queries to the correct department for resolution.
Keep track of SLA’s and follow up on responses.
Perform weekly CRM Quality checks.
Compile and manage the roster for the department.
Assist with systems training for learners and new DM counsellors.
Assist in completing training registers.
Keep track of the DM attendance and leave register.
Compile documents for the team to maximize efficiency.
Assist in member communication projects given to the team.
Order stationary as and when required.
Compile relevant information required for reports.
Assist the DM counsellors and DM Manager with managing Ad-hoc projects.
Assist in compiling administrative related SOP’s.
Handle clinical information in accordance with the department confidentiality and POPI act guidelines.
Minimum Qualifications and Experience Required:
Matric/ Grade 12
Administration qualification would be an advantage.
Experience and knowledge of the medical schemes legislation particularly pertaining to PMBs an advantage.
Experience in a call centre or administrative function in a medical scheme environment an advantage
Language Requirements
Highly proficient in English
An African language would be an advantage
Computer Literacy
Proficiency with the following programmes is required:

Work Requirements
The position will be based in Sunninghill.
The hours of work: Office hours from Mon to Fri, 8am to 5pm. Willingness to work additional hours and overtime when required.
